General Policy Outline

Purpose: The purpose of this document is to establish the general policies for the day to day operation of WJTB. These policies are to ensure smooth operation of the station and to maintain reasonable expectations for station members.

Organization: This manual is organized by station business unit. While many policies may cross over to other areas, the organization is based on a general sense of meaning.

General Policy

  • WJTB Name

WJTB "Geek Radio" is the radio station's identity for NJIT and the student's community and can not be changed by either one person, or  voted by a general or exec meeting.

  • Budgeting

Budget is to be handled by the Business Manager and overviewed by the General Manager and Radio Station Manager.

  • Attendance

All members are expected to be present for their appropriate duties. These duties shall include regular meetings, on-air positions and other scheduled events.

General Meetings—All members are required to attend regular monthly meetings of the station.

Executive Meetings—Station Executives are required to attend the monthly general meeting and the monthly executive meeting.

Exemptions will be given ahead of time at the discretion of the General Manager or Station Manager. In the event of a personal emergency, the member is required to notify the GM or SM as soon as possible after the missed meeting.

Broadcast control time slots—Each Station director and on-air-personalities are required to schedule and maintain two weekly office sessions.

DJ/On-Air Personalities—DJ/OAP’s are required to arrive at least 10 minutes prior to their scheduled airtime. DJ/OAP’s are not permitted to leave prior to the conclusion of their scheduled time

  • Respect Policy

    All station members are to respect one another.  No one in a higher position shall use subordinate language.  The radio station is formed by a team of people, everyone has their individual role.

    During meetings, nobody shall speak out loud interrupting the current speaker.  Members shall wait until the person who is speaking is finished.

  • Disciplinary Action

Disciplinary action will be given for offences as defined throughout this manual. Action will be given as follows:

1st Offence—Verbal warning with written documentation.

2nd Offence—Loss of air privileges for a week.

3rd Offence—Loss of membership at WJTB

Station Operation

  • Daily Opening and Closing

The General Manager, Station Manager or a duly appointed person who is at least a station executive will open the station daily.

Nightly closing will be performed by the last Exec on Duty who will lock up the station and switch the overnight streaming.

Both opening and closing procedures are defined by the station manager or general manager and may include duties not specified in this policy manual.

  • Visitation

Not unauthorized persons are permitted in the station at any time for any reason.

Authorized persons shall consist of the following:

  • Official station members
  • NJIT personnel
  • Visitors specifically authorized by the General Manager, Radio Station Manager, or Assistant Radio Station Manager.
  • Mail Logs

Only authorized personnel are allowed to pick up the Mail and Log it.

Authorized personnel are to be appointed by the Radio Station Manager.

The authorized personnel needs to fill out the CD form stating what and when CDs came in, and distribute the mail to their respective directors.

  •   Use of Phones

Station phones are for official station business only.

Station phones may be used for emergency calls.

  • Hours of Operation

The station shall maintain operating hours of 24 hours a day 7 days a week. The station will be open from 8am to 10pm daily.

  • Library

All logs for new music are to be logged in by the librarian. The new arrivals are to be placed inside the rotation bin for one month and a half. All CDs are required to be marked by the WJTB letters and the day it came in.

  • PC Use

Station personal computers are to be used for official station business. Machines dedicated to streaming are to be used for that purpose only. No one but the Multimedia Director and the Assistant Multimedia Director is to install, uninstall, or reconfigure any software programs or hardware settings.

  • Codes

Station Codes:

Only the General Manager, Radio Station Manager, and the Assistant Radio Station Manager should have the codes for the doors.

Computer Codes:

Only the General Manager, Radio Station Manager, Multimedia Director, and the Engineer should have the administrative codes for all the Computers.

Web Page:

Only the General Manager, Radio Station Manager, and Multimedia Director should have the administrative codes for the Web page and Email list.

Phone:

Only the General Manager, Radio Station Manager, Assistant Radio Station Manager, Music Director and Assistant are allowed to have the codes for the phones.

Passwords can be given to a duly appointed person who is at least a Radio Station Executive. This person is appointed by the General Manager, Radio Station Manager, and the Assistant Radio Station Manager.

  • Broadcasting control Time Slots

All Directors, DJs, On air personalities, and New Exec board members (less than one semester as a board member or Director) need to fulfill a minimum of 2 exec broadcasting control slots per week.

Promotion

Website
          The promotions deprtment is responsible for promotional content on the web site.  The promotions director or duly appointed representative will provide content to the Multimedia department.  The Multimedia department will create the appropriate html content from the materials provided and the Promotions department will then approve.

Student Group Liaison
          The promotions department will act as the liaison between WJTB and the other student groups on the NJIT campus.

On-Air Promotion and Station Image
          The promotions department is responsible for the development of on air spots to cross-promote WJTB programming and activites.  The department also develops station IDs and an on-air station image.

On-Campus Promotion and Off-Campus Promotion
          The promotion department is responsible for the development and distribution of promotion materials to on-campus media outlets such as the Vector and various off-campus outlets.

 

Music

  • Play lists

Play lists are to be filled out during the show. Music played will be entered into the log with the library number, artist name, and the name of the track being played. If the album was released within the last six months, place a check mark in the column marked "New". If you have any comments about the song, place those in the "Comments" column. If the album being played is not from Campus Radio's library, place a '-' in the "Number" column.
All public service announcements will be logged on their own line as "PSA" with the proper three letter-one number identification code next to it.
All advertisements will be logged on their own line as "ADV" with the proper three letter-one number identification code next to it.
All station identifications will be logged on their own line as "SID".
The station disclaimer will be logged on its own line as "DIS".
Sporting events will be logged on their own lines as "SPORTS" and then the time of broadcast.
News will be logged on its own line as "NEWS" and then the proper time.
Weather will be logged on its own line as "WEATHER".

 

  • Acquisition of Music

Acquisition of music is done only by the music director and his/hers assistants. No one else is allowed to call the record labels. By doing so, they will be written up by the radio station manager or assistant radio station manager.

Programming

  • On Air Personalities

All schedules are to be filled out by the program director. Any no shows are to be reported to the radio station manager or assistant radio station manager. If an on-air-personality can not attend their time slot, they are responsible to find a replacement and let the program director know two days in advanced.

 

  • Play Lists

Play lists are to be filled out before, during, or after the show. If play lists are filled out before the show, any changes in the show must be reflected in the play lists

  • On-Air Etiquette

All on-air personnel shall be responsible to follow on-air etiquette as defined by FCC regulations.  Any staff member not following these regulations wil be subject to disciplinary action.     

  • Training

New recruiters have to attend a beginner, intermediate, advanced classes, The new recruiter needs to take a test for each one of the classes prior to moving to the next class, anytime they wish during that same week.

  • Program Development

New shows need to be filled with the program director, and voted by a committee composed of the General Manager, Radio Station Manager, Assistant Radio Station Manager, Program Director, and Music Director.

This committee shall meet every two weeks.

Engineering

  • Equipment Log

All DJs and on air personalities need to fill out the equipment log before their show starts. The DJs also understand that any equipment missing after their show is their responsibility. The broadcasting control exec in charge must sign all logs at that moment.

  • Equipment

No one is allowed to open, move, or tamper with the equipment without the Chief Engineer being present. No equipment is allowed to be moved out of the station at any time without the consent of the General Manager or Radio Station Manager

  • Training

New recruiters have to attend a beginner, intermediate, advanced classes, The new recruiter needs to take a test for each one of the classes prior to moving to the next class, anytime they wish during that same week.

  • Streaming

The multimedia department is responsible for maintaining the internet audio stream through the WJTB web site.  The multimedia department shall work in tandem with the engineering department to maintin equipment and connections between the broadcast booth and the computer equipment used for streaming.
